How to export Pipedrive data to Excel
Pipedrive exports to Excel or CSV in two ways: everything of one type from the Export data page, or one filtered list from a list view. Here are both, and the settings that quietly leave records out.
Export everything of one type
For a backup, a full report or a move to another tool. Only global admins see this page.
- Open the account menu (top right) and go to Tools and apps → Export data.
- Pick one type: deals, organizations, people, activities, notes, leads, products or files. Each type is its own file.
- For deals, set Archive status to “All (archived or not)”. It starts at “Not archived”, which leaves your archived deals behind.
- For activities, filter by Date added with any date. A due-date filter skips activities that have no due date.
- For notes, choose HTML (keeps the formatting) or plain text.
- Choose Excel or CSV and click Export. The file appears under Generated exports on the same page, and stays there for 28 days.
Export one list
For a quick spreadsheet of what you see: anyone with export permission can do this.
- Open a list view (deals, people, organizations, leads or projects) and apply the filter you want.
- Click the gear icon and pick the columns. Only the columns shown are exported. A deals list can include the person’s and organization’s fields too.
- Open the “…” menu and choose Export filter results, then Excel or CSV.
What you get
- One sheet per file, with headers like “Deal - Title” and “Organization - Name”, in your account’s language.
- ID columns, such as “Deal - ID” and “Deal - Organization ID”. Keep them: they’re how a deal finds its organization and person when two people share a name.
- Custom fields under their own names.
- In Excel files, numbers stay numbers. Dates and times come without a time zone.
- Activities, notes and files are separate exports, even for one deal. Google Drive files aren’t included.
- Only the records you’re allowed to see: visibility settings apply to exports too.
Excel or CSV?
Choose Excel if you’ll open the file in Excel: numbers stay numbers and accented letters show correctly.
Choose CSV for Google Sheets or another tool. Pipedrive’s CSV is UTF-8 with every value in quotes. If Excel shows odd characters in names, import it with Data → From Text/CSV instead of double-clicking it.
Moving to another CRM?
Export organizations, people, deals, activities and notes, with the settings above. That’s everything you need to bring your pipeline along.
Really Fast CRM imports these files as they come from Pipedrive: it recognizes the columns, links deals to their people and organizations by Pipedrive’s IDs, shows a preview before anything is saved, and can undo the whole import. How the import works · Compared with Pipedrive
Questions
Can I export all of Pipedrive in one file?
No. Each type (deals, people, organizations, activities, notes) is its own file. Export them one after the other from Tools and apps → Export data.
Why are some deals missing from my export?
Usually the archive status: it starts at “Not archived”. Set it to “All (archived or not)”. Visibility settings can also hide deals you aren’t allowed to see.
I don’t see the Export data page.
Only global admins can export by type. Ask an admin, or export from a list view, which needs only export permission.
How long can I download an export?
Generated exports stay on the Export data page for 28 days.
Are emails and files included?
Files are a separate export, and Google Drive files aren’t included. Pipedrive’s article doesn’t list emails among the export types.
