Terms of Service
Version 4, effective 30 October 2026.
1. Who we are
1.1. Really Fast CRM (the Service) is provided by Vinit Kumbharkar, ul. Złota 75A/7, 00-819 Warszawa, Poland, NIP 5273188850, trading as The Integration Desk (we, us).
1.2. Contact: support@theintegrationdesk.com.
2. Definitions
- Customer: the business that creates a workspace in the Service and, after the trial, subscribes to it.
- User: a person with an account who is a member of a Customer's workspace.
- Workspace: the Customer's own space in the Service, with its records and members. Owners manage its members and billing.
- Customer Data: everything Users put into a workspace: people, companies, deals, tasks, notes, custom fields and files imported into it.
- Subscription: the paid plan described in section 6.
3. Who may use the Service
3.1. The Service is for businesses and is not offered to consumers. By creating a workspace, the Customer confirms that it uses the Service for its business.
3.2. The person who creates the workspace, or subscribes, confirms that they are authorized to accept these Terms for the Customer.
3.3. If the Customer is a natural person running a business, and the law gives them consumer protections for a contract without a professional character for them (in Poland: art. 385⁵ of the Civil Code and art. 7aa of the Consumer Rights Act), nothing in these Terms limits those protections.
4. What the Service does
4.1. The Service is a customer relationship manager in the web browser: Users keep people, companies, deals, tasks and notes, move deals through pipelines, and import and export their records.
4.2. To make it fast, the app keeps a copy of the workspace's records in the User's browser. The copy is deleted when the User signs out, loses access to the workspace, or another account signs in on that browser.
4.3. Technical requirements: a current web browser and an email address to sign in with.
5. Accounts and access
5.1. Users sign in with a one-time link sent to their email address. We never ask for passwords.
5.2. Owners decide who is a member of their workspace. The Customer is responsible for the people it invites and for what they do in the workspace.
5.3. Users must keep access to their email account secure, and the Customer must tell us without delay about any unauthorized use it becomes aware of.
6. Free trial, subscription and payment
6.1. Each new workspace has a free trial of 7 days. No payment details are needed for it.
6.2. After the trial, unless the workspace has a Subscription, it becomes read-only: Users can still see and export everything, but can't change it. We may delete a workspace that has been read-only for more than 12 months, after telling its owners by email at least 30 days before.
6.3. A Subscription costs $5 per User per month billed yearly ($60 per User a year), or $6 per User per month billed monthly, plus VAT or sales tax where applicable. Every member of the workspace counts as one User.
6.4. When members join or leave a subscribed workspace, the Subscription changes with them: a new member is charged at once for the rest of the current period, and a member who leaves is credited for it, both in proportion to the time left.
6.5. Paddle sells the Subscription as our merchant of record. The Paddle entity that sells depends on the Customer's location and is named in Paddle's buyer terms: Paddle.com Market Ltd for customers outside the US and Canada. Paddle takes payment, issues the invoice and handles tax, refund requests and chargebacks under those terms.
6.6. 14-day money-back. The Customer may ask for a full refund of any Subscription payment, the first one or a renewal, within 14 days of that payment, without giving a reason, by writing to support@theintegrationdesk.com. When we refund a payment, the Subscription ends immediately. We may refuse requests that abuse this clause, such as repeated cycles of paying and asking for a refund. The Refund Policy explains how refunds work. Where these Terms promise a refund, we instruct Paddle to issue it to the original payment method.
6.7. Owners can manage or cancel the Subscription in the app, under Settings → Billing.
6.8. A Subscription renews automatically at the end of each period until it is cancelled. After cancellation it stays active until the end of the paid period; then the workspace becomes read-only (6.2).
6.9. Deleting a workspace ends its Subscription immediately.
6.10. We may change prices for future periods. We will give at least 30 days' notice by email or in the app. A change takes effect at the next renewal after the notice period.
7. Acceptable use
The Customer and its Users must not:
- use the Service against the law, including keeping personal data they have no right to keep;
- use it to send spam or to store malicious content;
- try to access other customers' data, or probe, overload or reverse-engineer the Service;
- resell the Service or share a workspace with other companies as a service.
8. Customer Data
8.1. Customer Data remains the Customer's. We process it only to provide the Service, as set out in Annex 1 (Data Processing Agreement), which forms part of these Terms.
8.2. Any member can export all of a workspace's records at any time, as CSV files, in Settings.
8.3. What happens to Customer Data when records or workspaces are deleted is described in Annex 1, section 9.
9. Availability and changes to the Service
9.1. We aim for the Service to be available at all times, but we do not guarantee uninterrupted service.
9.2. We may improve and change the Service. If a change removes a core function (keeping people, companies, deals, tasks and notes), a Customer with a Subscription may cancel, and we will refund a part of the fee proportional to the unused part of the current period.
10. Liability
10.1. We are not liable for the content of Customer Data, or for decisions the Customer makes based on it.
10.2. Our total liability to a Customer is limited to the net amount (excluding taxes, less refunds) paid for that Customer's Subscription in the 12 months before the event that caused the damage. We are not liable for lost profits.
10.3. These limits do not apply to damage caused intentionally, or where the law does not allow liability to be limited.
11. Complaints
11.1. Complaints about the Service can be sent to support@theintegrationdesk.com. Please include the workspace name and a description of the problem.
11.2. We reply within 14 days.
11.3. Complaints about payments and invoices for the Subscription are handled by Paddle.
12. Term and termination
12.1. These Terms apply from when an account is created. The agreement with a Customer ends when its workspace is deleted.
12.2. A User can delete their account at any time in Settings.
12.3. We may suspend or terminate access, with notice where possible, if the Customer seriously breaches these Terms. If we terminate without such a breach, we refund a part of the fee proportional to the unused part of the paid period, and give the Customer at least 14 days to export its data.
13. Changes to these Terms
We may change these Terms for legal, technical or business reasons. We will announce changes at least 14 days before they take effect, by email or in the app. A Customer that does not accept them may cancel and export its data before that date.
14. Law and courts
14.1. These Terms are governed by Polish law.
14.2. Disputes will be resolved by the court competent for our permanent place of business.
Annex 1: Data Processing Agreement
1. Roles
1.1. The Customer is the controller, and we are the processor, of the personal data in Customer Data (art. 28 GDPR).
2. Subject, duration, nature and purpose
2.1. Subject and purpose: storing Customer Data and making it available to the workspace's Users; importing and exporting it, and sending invitations, when Users ask for it.
2.2. Duration: for as long as the workspace exists, and until deletion under section 9.
2.3. Nature: storing, displaying, searching, transmitting and deleting.
3. Data and data subjects
3.1. Data subjects: the Customer's contacts, prospects and customers, and the people working for them; the Customer's Users.
3.2. Personal data: whatever the Customer keeps in the Service, typically names, email addresses, phone numbers, addresses, job titles, companies, deals, tasks, notes and custom fields; the history of changes to records; Users' names and email addresses.
3.3. The Customer should not keep special categories of personal data (art. 9 GDPR) in the Service.
4. Instructions
4.1. We process personal data only on the Customer's documented instructions. These Terms and the Users' use of the Service's functions are those instructions.
4.2. If we believe an instruction breaks data protection law, we will tell the Customer.
5. Confidentiality and security
5.1. Everyone who processes the data for us is bound to confidentiality.
5.2. Our security measures include:
- data hosted in the EU;
- encryption in transit (TLS);
- sign-in by one-time email links, without passwords;
- every read and every change checked on the server against the User's membership of the workspace;
- access ended within seconds, on every device, when a member is removed, with the browser's copy deleted;
- rate limits;
- server logs without IP addresses, full email addresses or record contents.
6. Subprocessors
6.1. The Customer generally authorizes the subprocessors listed below.
| Subprocessor | Purpose | Location |
|---|---|---|
| Hetzner Online GmbH | Servers and storage | Germany (EU) |
| Mailjet SAS | Sign-in and invitation emails (the recipient's address only) | EU |
| Namecheap, Inc. (forwarding) and Google LLC (Gmail) | Support email, if the Customer writes to us | USA |
6.2. We will announce new subprocessors at least 14 days in advance. The Customer may object and, if we cannot resolve the objection, cancel and delete its workspace.
6.3. Paddle handles payments. We do not send it Customer Data, so it is not a subprocessor.
6.4. We bind every subprocessor to data protection obligations equivalent to these.
6.5. A user may connect their own Gmail account to send emails from the Service. Those emails then go through that account, and Google acts as the user's own email provider under the user's agreement with Google, not as our subprocessor.
6.6. A user may connect an AI app (for example ChatGPT or Claude) to their account. The app then reads and adds Customer Data as that user asks it to, with that user's access, under the user's agreement with the app's provider, which is not our subprocessor. The user can disconnect it at any time in Settings.
7. Assistance
We help the Customer, as far as we reasonably can, to answer data subjects' requests and to meet its obligations under art. 32–36 GDPR. Users can find, change, export and delete records themselves in the Service.
8. Personal data breaches
We notify the Customer without undue delay, and no later than 48 hours, after becoming aware of a personal data breach affecting its data. The notice includes the information we have under art. 33(3) GDPR.
9. Deletion
9.1. Records a User deletes can be restored from "Recently deleted" for 30 days. They are removed for good when the workspace is deleted, or earlier on request.
9.2. Deleting a workspace ends access to it at once, for everyone. Its data is kept for 30 days, so it can be restored on request if it was deleted by mistake, and is then deleted for good.
9.3. Any backups we keep expire within 30 days, so deleted data disappears from them within that time.
9.4. Files and data the Customer exported remain under its control.
10. Audits
10.1. We make available the information needed to demonstrate compliance with art. 28 GDPR.
10.2. We allow and contribute to audits, including inspections, by the Customer or an auditor it appoints, normally with 30 days' notice and once a year, and more often when a supervisory authority requires it, after a personal data breach, or when the Customer has reasonable grounds to suspect that this Annex is not being complied with.
10.3. Each party bears its own costs of an audit.
11. Transfers
We store and process Customer Data in the European Economic Area. The only exception is support email (section 6), processed in the USA: by Namecheap under the Standard Contractual Clauses, and by Google under the EU–US Data Privacy Framework.
